Have your guys fund their roll for the game and carry a balance. Otherwise yourengoing to be processing transactions all night.
That's what I'm encouraging them to do...but some insist on sending me 1 buy-in at a time. :(

Yup - it sucked to have to process 10 transactions for 1 dude on super-tilt, just to have him end up +$7. I would rather just make 1 transactions personally. However, most people don't want to over-fund their accounts, so you'll end up having to process 1 transaction per buy-in/rebuy

You guys are being too nice about it. Just tell them that's how its gonna be go forward.
 
If you trust the players, let them go negative. The balances in PM at the end of the night is what you request/pay.

I trust everyone but don't do credit. If you have no funds left Venmo me money for that next buyin.
At the end of the night I have players who let is stay in the bank for the next game - it sits in Venmo. No need to zero everyone out at the end of the night
 
I'll post my system tomorrow. It does involve logs and a Google sheet. But I'm also managing 45-50 active players.
 
Good question. I'm wondering about my approach for an upcoming first game:
1. Collect money
2. Assign balance
3. Game ends, everyone leaves table
4. Distribute money based on balances
5. Zero out balances.

This was how I was planning on running my tourneys (once a week max). This would be a lot of work for a cash game or more frequent games though. The flip side would be that everyone keeps their money in the system by default, and you only process cash-outs when requested.

Very interested in seeing your system Craig, I'm sure you've got this down to a science at this point. :cool
 
I didnt even realize you could cash out from Craig's game, how does this work? After I work up a balance in NL I just go to Big O and BOOM, no funds to cash out!

On a side note, I dusted off an old bank account I had for use on online poker many years ago to run deposit/cash outs for my weekly tournament. I didnt want to risk my main bank account getting locked (in the past some Canadian banks dont like gambling and have closed accounts).

I think closing out every game is best, unless you are running a large site. If there’s ever a question about illegal gaming or money laundering, it’s much easier to track the money if you return it after every game. Allowing running balances over multiple weeks is a lot harder to prove that it’s a casual game among friends.

I'd hope the feds have more pressing things to worry about than our rinky dink poker clubs... Like the apocalypse.

As long as you're not collecting a rake, I don't think they'd care.

Agreed, but it helps if you can prove you’re not collecting a rake, which is easier done when you track money in and out of every game.

And it’s probably the state or local law enforcement you need to worry about, rather than feds. There’s a few stories on the forum about members getting raided and charged for running rinky dink live home games.
 
I'll start off with the fact I have two other admins. Both have admin rights on their account to be able to add chips to the balance. This allows me to not have to be tied to the computer or my phone. I have zero worries about trust - one is the Elks leader and the other is one of my regs.

I keep a running spreadsheet in Google sheets. Every transaction I log - most real time, and the rest each morning as part of my audit process. I keep a running tab of my balances from each account and use some math to ensure my balance keeps updated as well as my own profit or loss - currently down a few hundo. I subtract tips to the house as it's own line item, as well as any fees taken from the Elks Lodge. We hold two nights a week where we rake or charge a fee to pay out of work bar staff.

Next I open the event log from the prior night - the logs are in this folder - C:\Users\Administrator\AppData\Roaming\Poker Mavens 6\Logs - you have to paste that in to windows file explorer or go in and unhide app data as it is a hidden folder by default.

I use notepad ++ to open the text file - it is a much better program than the installed notepad on the PC.

I find all in current document (ctrl-F) for both the words (Remote) and (Console)- this brings up a very clean view as to what chips went into what account. I cross reference this to my google sheet and highlight all verified payments.

Remote - action done via the web admin page (My admins)
Console - action done via Poker Mavens server (Me)

When you add chips and payout chips - make sure you use the increment primary balance, and decrements primary balance (allow negative) so it logs the addition and/or subtraction as well as the new balance.

Then I hit my House icon and make sure the total players balance matches the balance in my spreadsheet.

Here it does not - because there is currently a ring game going, so there is money on the table not accounted for in the total player balance. I just add that together (74+58.87 =x32.87) and it matches. Bank is right. Now I log all balances to the log, so tomorrow if there are errors I can spot them immediately.

Takes a little effort - but ensures that the bank is right every day. I've been off by less than $4 each day, and that's usually because someone paid me via PayPal and it took a fee. Then I go back and see who did that and adjust their balance down by the $3.80 PayPal sucks from us.

I process payouts on Mondays - anyone with a balance larger than XXX will receive payout. This allows me to keep the balances manageable. I can see argument for clearing out daily, but with the size and degen of my club, that would not work for me.

WOW thanks for sharing - I had never used the House Icon before - was manually adding up balances to compare with Venmo.
Appreciate the tips and thanks for doing all this work to keep the game running

What I ended up doing is cashing myself back to a certain amount after each game, and then pulling/pushing to my personal bankroll account accordingly just to make sure I didn't get wonky with my own personal poker accounting, separate from the site.

My personal bankroll was the one thing I had to figure out differently, @CraigT78. What I ended up doing is cashing myself back to a certain amount after each game, and then pulling/pushing to my personal bankroll account accordingly just to make sure I didn't get wonky with my own personal poker accounting, separate from the site.
That would work as well. For me, I drunk donked off a considerable amount one night, so I am working from the negative. I have the funds in my account, but need to track how much I am behind.

From a fellow drunk donker, I get it.

Got it in on Saturday preflop in PLO8 against my actioniest player with AA2x double suited twice and lost both times to random hands (eg 3 4 7 8) that hit quads (with no pocket pairs!) Variance...sigh.

The toll free number is just me doing my part. I called - they said stop chasing the low. ;)
 
Has anyone else using P* had issues with the game results not being tracked? The first day of tournaments we played is there, but nothing for the last 3 weeks. I'd like to keep my league stats up dated.

It's been hit and miss (mostly miss) since early February, with some missing results appearing after subsequent software updates. Worked okay again for about a week, then nothing since 27-March or so.

If you are using the .com software, you can request to be emailed the results and hand history of tournaments you have played in.

So that I am clear, you've had missing results reappear at some point? I only need to see them once and get a screen cap. I've had to improvise so far (giving points to those who won cash and then splitting the other points among others who paid).
 
There was a 7-10 day stretch of no posted results back in late Feb - early Mar, that suddenly appeared en mass after a software update one day, and things started getting reported again. After a week or so, they stopped again....
 
Things got a little cray cray last night, and I've got a few people keeping multi-hundred dollar balances in Poker Mavens. Anyone here doing anything like a backup/snapshot of the accounts as a way to ensure all that digital money doesn't accidentally get messed up?
